Agreements in FieldEdge

Spring is about to kick off. Along with spring comes a massive influx for maintenance in the HVAC world. 

Your company may not only be gearing up for Spring, but you could be thinking about revamping your Agreements before it’s all-hands-on deck! 

This month, we’re going to dive into one of FieldEdge‘s most sought-after features: Agreements. This way you have the building blocks to prepare in case you wish to revamp your current contracts. 

What are Agreement Plans? 

Before we attack this week’s subject, we need to dive into a broader picture first: What are Agreements?

Agreements are memberships or contracts you can sell to your Customers that are typically associated with a discount you can provide them. These are called “Agreement Plans,” or just “Plans” for short.

Agreement Plans typically consist of:

  • A Discount for the Customer
  • Offered Monthly, Quarterly or Annually
  • A Maintenance Visit Cadence Included when Sold
    • The Most Common Cadence is Twice a Year

Agreement Plans are incredibly malleable inside of FieldEdge, and can be built for either Commercial or Residential use.

Agreement Items 

The most commonly asked question we get when explaining how Agreement Plans work inside of FieldEdge is: 

“Well, how does the system KNOW if my office or technician has sold a Plan?! I typically can’t get this to work!?”

If this sounds like your company: Don’t panic. There is not only an answer to the first question, but a solution to the problem you may be facing. 

Your answer is: the Agreement Item.

The Agreement Item is the magic key to getting your Agreement Plans to operate.

Agreement Items are Non-Inventory Items you create and place into your Agreement Plans. They are what drive your Plans to begin with. 

When creating an Agreement Item, you will give this Item the Rate you at which are selling your Plan.

For Example: Below is an Agreement Item for an Annual Gold Plan priced at $240 a year. 

If we wanted to create a Monthly Plan of the Gold Plan, we would create another Agreement Item with a Rate of $20 dollars instead. 

  • This would still be $240 in total, but would be priced out evenly over 12 months.

The tricky part about this is: 

Agreement Items will remain regular Non-Inventory Items until they are placed into an Agreement Plan.

You will notice once you place that Item into the Agreement Item section, the Price point will automatically fill out for you for your Plan. This is what drives your Agreement. 

Without the Agreement Item in place inside of the Agreement Plan, the system has NO WAY of differentiating your other Items inside of the system. By placing that Item inside of the Agreement Item section, FieldEdge can then track your Agreement Plans.
