Should I bill from field, or office?
Agreements are incredibly malleable within FieldEdge. Whether your work is primarily residential, commercial, or a mix of both: FieldEdge’s Agreement schedules have you covered!
Take a moment to think: how do YOU want your company to bill their Agreements?
Do you want your office to handle the billing?
Maybe you want your Technicians to handle the front of the billing out on the job.
Perhaps you want a mix of both depending on the Agreement sold.
Whatever the reasoning, FieldEdge’s Agreement Schedules have a way to settle all of these options.
In today’s blog, we will dive into which option might be best for your company and business model.
Understanding Agreement Setup
Before diving into the different billing options, we need to look into how to set up an Agreement. Once an Agreement is sold in the field, it will appear inside of the Unfinished tab for the office to fill out.
Once an Agreement is selected, FieldEdge will then bring you to the Agreement to set up.
By default, FieldEdge will assign an unique Agreement Number, the Plan that was sold, and the Contract Date.
If a different Plan or Contract Date needs to be adjusted, the office can do that at this time.
The main goal of Agreement setup is determining which of the two different schedules your company needs to use.
Billing Vs. Maintenance Schedule
Typically Billing Agreements are placed into 3 separate buckets for companies
- Billing from the Field
- Billing from the Office
- A Mixture of Both
Most of the time, companies pick between either the field or the office. What you choose should be solely reliant on what type of work your Company does.
Bill from Office
If your company is selling a maintenance plan for commercial purposes, you would want to Bill from the Office only.
You would not want the Technician handling the maintenance agreement’s billing while they are on site. You would only want them to arrive, complete the work, and leave.
To enable Bill from Office for an Agreement, select the Bill from Office check box, and fill out the Timetable accordingly for the plan.
This Timetable should only include when the Customer needs to be Billed. It is in no way a replacement for the Maintenance Schedule.
Bill from the Field
The Maintenance Schedule is where things can get tricky. The Maintenance Schedule is unique, as it’s the only schedule that needs to be filled out regardless if a Customer’s Agreement is Bill from Office or not.
This is because the Maintenance Schedule determines how often your Company needs to go out for a maintenance visit. However, it also serves another purpose.
If your company mostly handles residential maintenance, you may want to consider billing from the field while your technicians are onsite.
Remember, it is still very common for companies to want to manage the billing from the office even with a residential workload. However, FieldEdge does offer the flexibility to grant your company the ability to bill from the field if you choose too.
If your company wishes to bill from the field, you would simply leave the Bill from Office turned off, and fill out the Billable Parts section of your Maintenance Schedule in lieu of the Billing Schedule.
