A multi-state HVAC provider manually tracked tiered dispatch fees and Washington tax zones, slowing billing and causing errors. PCG automated both using ServiceTitan Zones.
Client Challenges
A provider servicing Oregon and Washington relied on a manual, zip-code-based tier system to apply dispatch fees, slowing invoicing and creating room for error. They also struggled to keep up with Washington’s frequently changing city and county tax zones.
PCG Solutions
PCG built out tiered dispatch pricing using Zones, linking corresponding job types and default services to each fee variation. Requiring zip codes at booking let CSRs instantly see the correct pricing tier and select the matching job type, auto-applying the right dispatch fee. PCG also enabled Washington’s tax zone integration to auto-calculate accurate sales tax by zip code.

PCG used ServiceTitan’s Zones feature to translate a manual, error-prone tier system into an automated structure. Dispatch pricing tiers were mapped to specific job types and paired with default services, ensuring the correct fee was applied every time. This eliminated the need for CSRs to manually reference pricing tables during booking.
Structured, Scalable Workflow Design
Requiring zip code entry at booking gave CSRs immediate visibility into which pricing tier a customer fell under, guiding them to the correct job type. This same zone-based logic was extended to Washington’s tax requirements, automatically calculating the correct sales tax by zip code. The result was one consistent, structured workflow covering both dispatch pricing and tax compliance.
Time Savings Through Automation
By removing manual lookups from both dispatch fee and tax calculation processes, PCG significantly reduced the time and error risk in billing. CSRs could book jobs faster and with greater accuracy, directly speeding up the invoicing process.
Conclusion
This project replaced two manual, error-prone processes with a single automated workflow. The client’s reaction during the demo — genuine surprise at the time savings and reduced billing errors — reflected the gap between their prior limited FSM/CRM setup and what ServiceTitan can do. It also opened the door to further platform adoption, as the client left the implementation eager to explore additional ServiceTitan capabilities.
