Creating Sub-Customers in FieldEdge
Typically, when a Customer calls in, your CSR’s first move is to find the Customer’s name in the system. If they can not find them, it’s time to create a new Customer. However, from time to time, your CSR’s may notice some Customers are owned by other Companies.
In today’s blog, we’ll dive into how to create Sub-Customers for different locations and how to bill them in FieldEdge.
What are Sub-Customers?
Sub-Customers, often referred to as “children” in the accounting world, are Customers that are typically owned by another Customer, the parent.
These Customers are typically Commercial-related, when a Company is owned by another Company. However, Residential Customers can also have Sub-Customers. This typically happens when another family member wants to be responsible for the billing.
How to Create a Sub-Customer
Creating a Sub-Customer is easy, however can be confusing if you don’t know what to look for.
- Start by creating a new Customer in FieldEdge.
- Remember, all Customers should be created inside of FieldEdge first. Any Customer created in your Accounting Software will not flow back over into FieldEdge.
- Fill out this Sub-Customer’s information, such as their Display Name.
3. Locate the Parent drop-down and begin typing who the Sub-Customer’s Parent (The Company that owns this Company) needs to be. Once you find the Parent Customer, select that Customer.

- By selecting a Parent Customer, you are making this Customer into a child (Sub-Customer).
4. Continue filling out the Customer Information until you reach the Bill Information.
5. Determine who (The Parent, or the Child (this Sub-Customer)) is primarily handling the billing on this Sub-Customer and begin filling out the “Bill To.”

- The “Bill To” in FieldEdge is who is being billed for the Invoice.
- Traditionally, most Companies want the Parent to handle the billing for the Child Location. However, there are Companies that break this mold and handle their own billing.
- Pro-Tip: This Setting is only picking who is the default option. This setting can be changed later by editing the Customer. You can also change the “Bill To” on a regular Work Order at any point in on an individual level.
6. Scroll down and Save.
When you take a look at your Customer List, you will now notice that Customer is a Sub-Customer of the Parent you have chosen, signified by the indentation.
Changing the “Bill To”
There are times when a Customer may want to change who the primary “Bill To” is in general, but may need it changed depending on the Work Order. This can be easily done, it’s just knowing where to go!
- Navigate to the Customer’s Work Order and select the Invoice’s Tab.
2. Locate your Invoices number on the left side of the screen.
3. Underneath the Invoice number is the “Bill To” section. Select the drop-down and choose who the Customer wants to bill for the Invoice.
4. Select Save.
