Simplify Customer Records with Global Settings in FieldEdge

Your Global Settings contains the most important configurations your company needs to consider. 

Depending on what you select, your FieldEdge database will react in different ways. 

Although there is no right or wrong way to configure your database, there are a few settings that can completely change how your company operates from day to day. 

Customer Settings 

There are two settings your company needs to keep in mind while setting up your database: The Account ID and New Customer Record setting. 

The Account ID

The Account ID setting is often overlooked, but can assist you with the pesky limitations of the Display Name. 

The Display Name inside of FieldEdge needs to be unique for each individual Customer. This can become hectic if you have Customers with the same name. Odds are, you have found yourself adding numbers or dashes next to your Customers’ Display Names manually to avoid a duplicate request.

The Display Name limitation is a direct rule from Quickbooks. However, if your company has often found themselves struggling to keep up with this limitation, the Account ID setting can help you out! 

By enabling the Use Account ID setting, FieldEdge will automatically place a unique number sequence (an Account ID) to every Customer. This can help alleviate the stress of constantly trying to figure out a different Display Name.

New Customer Record 

At a glance, New Customer Record can seem straight forward. Many people automatically want their Customers to become Customers inside of Quickbooks. However, there are times you may not need certain calls to become Customers. This is where Prospects come in. 

Prospects are Customers that become Customers once the Prospect is needed in the Accounting Software. This means the Prospect will stay inside of FieldEdge until an Invoice is created. FieldEdge will then convert that Prospect into a Customer and push that Customer into the Accounting Software, as they now have a reason to be in the Accounting Software. 

We highly recommend making the switch to Prospects instead of Customers, as it helps keep your Accounting Software clean and easy to look through. Not every call we take will become a Customer, so Prospects help keep your lists clean and easy to understand.
