The House Method: Understanding Work Order Structure in FieldEdge
Starting with FieldEdge can be overwhelming. In your first lesson, you dive into the basics of dispatching and learn about creating your first Work Order.
However, a major disconnect tends to happen right after this lesson.
Suddenly, people start to use the words Work Order, Quote, Invoice, Payment, or even Timesheets, interchangeably. This can create mass confusion while on-boarding, even though it is correct.
You or your team may have experienced the following questions while learning about Work Orders inside of FieldEdge:
- I thought we were learning Invoicing? Why are we talking about a Work Order?
- I thought we were creating a Quote? Why can’t I just create a Quote without a Work Order?
- Where do I check my Technicians Timesheets?
If you or a team member has felt this confusion, know you’re not alone. In order to break down Work Orders and how they operate, we have created what we like to call “The House Method.”
The House Method
Before we talk about Work Orders, we need to think about a home. Specifically, we need to envision a multi-level home.
Each level of this house has different floors:
- The first floor has a living room and kitchen.
- The second floor has bedrooms and a bathroom.
- The third floor has an attic.
No matter how the floorplan looks in your mind, each floor has a specific purpose. But, more importantly, it’s all under one roof.
This is how we recommend envisioning a Work Order. The Work Order is the house, while your other components such as Timesheets, Invoices, Quotes, Payments and Equipment, are all the other floors of the house.
Nonetheless, all the floors are under one roof (the Work Order).
This is why a Work Order can have both an Invoice number and a Quote number, but will always have a Work Order number at the top.
Understanding the Method to the Madness
Although confusing at first, this is by design.
Think back to your pen and paper days.
The discombobulation of trying to sort out all the different components of the office is absolutely chaotic. Even if your company had a solid structure at the time, it was most likely cumbersome to have your dispatching, your PO’s, Invoices, etc. all in separate places.
With everything being housed under one roof, your office no longer has to worry about where something is located: It’s all in one place on the Work Order.
