Work Orders are the bread and butter of FieldEdge.
With so many key components of Work Orders, we have found that many companies overlook the minute details that can help accelerate their dispatching process.
In today’s post, we will dive into the more unique details to give your office the edge they have been looking for.
Making your Tasks Count
If a Work Order is a car, then your Tasks are your driver. Without Tasks, there would be no purpose for a Work Order.
Tasks are the secret ingredients inside of your Work Orders. Not only do they tell your Technicians what they will be working on when they arrive on-site, Tasks can also be reported on inside of FieldEdge.
However, we have found that many companies tend to skip over creating relevant Tasks.
Tasks and Relevancy
In our experience, we have noticed many companies lump some of their Tasks into a few generalized categories.
A few examples of generalized Tasks are:
- Maintenance
- Install
- Sales
Although these Tasks will do their job, they are not assisting your company with its reporting.
Creating generalized Tasks will come with generalized, lump sum reporting.
For instance: in this example we will look at using a Task for simply “Maintenance”.
Odds are, if your Company has an Agreement model, you may have a spring and fall maintenance visit included into your model.
If your Company has created (and uses only) the task “Maintenance,” you have no way of determining if this maintenance was a spring or fall maintenance for your records.
It is important to create clear and concise Tasks, not only for your Technicians out in the field, but so you have the most accurate reporting that you can.
Clear and concise Tasks in Reporting can assist you with:
- Discovering how many visits are needed for Maintenances
- Discovering where most of your traffic is going to
- Separating different verticals for companies that have other divisions
Tags that Matter
Just like your Tasks, Tags can also be reported on inside of FieldEdge utilizing custom reporting.
Tags are versatile text labels that can be placed on Work Orders at any time.
A major benefit to using Tags is the ability to apply multiple Tags on a Work Order.
However, since Tags are easily accessible, many companies tend to forget that Tags can be used in a particular way to track KPIs.
By creating clear and concise Tags, your company can think outside of the box to track KPI’s inside of FieldEdge.
For instance, many companies look to report and track aged Equipment inside of FieldEdge. We highly recommend creating Tags designed to track your Aged Equipment.
When an opportunity presents itself, have a dispatcher tag a Work Order with a Tag designated for Aged Equipment.
This way, your Technicians out in the field can tell if an opportunity is available.
It is important to note that although this method is highly effective when used, it is completely dependent on your office staff to stay on top of your Tags. FieldEdge will not automatically Tag a Work Order. This is a manual process.
However, if your company establishes a culture of using Tags regularly, Tags could be the key to more accurate reporting.
